Receptionist/Administrative Services
Reports To: Office Manager
Location: Sioux Falls
FLSA Status: Non-Exempt, Hourly
SUMMARY
This position is very critical as it is the face and representation of the Sioux Falls office and, they are the first person a
guest meets when arriving to the office and the last person as they leave. This position requires a person that is friendly,
professional, courteous, and organized to name a few. This position will support multiple projects, with varying and
changing priorities, meeting tight deadlines is imperative. Must be able to work both independently and collaboratively and
possess a strong service orientation.
ESSENTIAL FUNCTIONS
Office Support
- Greet all visitors and announce them to the proper department or specific staff member.
- Answer the telephone switchboard (Central Region), screening and directing calls.
- Interfacing with clients and all levels of staff in a professional and courteous manner.
- Provide general clerical support to the Central Region, including, but not limited to, preparing letters, labels, binders, and maintaining office calendar.
- Support the architectural/engineering staff with redlines, formatting specifications, filing, updating plan sets, etc.
- Effective handling of confidential data and sensitive information.
- Processing outgoing shipments and handle incoming mail and packages.
- Maintain records system, including filing, scanning, retrieving and archiving documents, researching files, etc.
- Manage credit card invoices and expense reports for the Sioux Falls office.
- Coordinating external events logistics and schedules along with arranging lunches for the office as needed.
- Maintain calendars, makes appointments and pool car requests, arrange meeting rooms.
- Coordinate special projects as assigned and provide basic research and data collection for those projects.
- Other duties as assigned.
Business Development Support
- Ensure database (Vision) is updated with prospects/opportunities information.
- Prepare internal and external correspondence, such as reports, welcome packets, and marketing information, as requested.
- Assist in market research and lead generation by sourcing local sources (newspapers, television, chamber and local school districts etc.).
- Provide assistance with proposal development efforts.
- Follow up on Business Development opportunities and set up appointments.
- Coordinating special projects as assigned and providing basic research and data collection for those projects.
- Effective handling of confidential data and sensitive information.
KNOWLEDGE, SKILLS AND ABILITIES
To perform the essential functions of this position successfully, an individual should demonstrate the following
competencies:
- Ability to work on multiple projects with minimal supervision in a fast-paced environment
- Organized and detail oriented, with the ability to double-check own work for accuracy.
- Strong written and oral communication skills, along with the ability to proofread for content, grammar etc.
- Computer literacy with proficient use of Microsoft Suite is essential
QUALIFICATIONS
- Associates degree -preferred.
- Three years of office/clerical experience preferred
